This notice explains what personal information M.Square Marine collects when you visit

, design lettering, place an order, apply for a trade account or write to us — and what we do with it. We have tried to write it the way we would want to read it.

Who we are

What we collect, and why

When you order. Your name, email address, shipping and billing address, phone number and what you ordered — including the lettering itself: the name, typeface, height and thickness you chose — together with the proof drawing we send you and your approval of it. We need this to make your letters, take payment, send the proof, ship the order, clear customs for US deliveries and answer any question about the order afterwards. Legal basis: performing our contract with you; keeping the accounting record is a legal obligation.

Payment. Payment is taken inside Shopify's checkout by its payment providers (for example Shopify Payments and PayPal). They receive your card or account details; we do not. We see only that the order was paid and, where the provider shows it, the last four digits.

When you create an account. Your email address and your order history. Signing in works with a one-time code sent to your email; we do not hold a password for you. If you hold a trade account, we record that it is a trade account so that your pricing shows when you sign in.

When you apply for a trade account. What you enter in the form: name, email, company, website or Instagram, type of business, country, phone, how many boats you fit a year, typical boat size, your tax or resale certificate number, a few lines about the business and how you heard of us. We use it to decide on the application and, if approved, to set up and run the account. Legal basis: steps taken at your request before a contract, and our legitimate interest in opening trade accounts only for genuine businesses. If we decline, we keep the application for twelve months in case you reapply, then delete it.

When you write to us — by email, through the contact form or the chat button on the site. We keep the conversation, including any photos of your boat you send, so that we can answer you and remember what was agreed. Legal basis: our legitimate interest in answering you and in keeping a record of what we promised. The chat runs on Shopify Inbox; contact-form and email messages arrive in our mailbox, which is provided by Google.

When you design lettering on the site. The design tool runs in your browser. What you type and choose stays in your browser — and in its local storage, so you can come back to it — until you add it to your cart, when it becomes part of your order. We do not see designs you did not order.

Reviews

Reviews on the site are run by Judge.me. Some time after your order is delivered you may receive an email asking whether you would like to leave a review; you can ignore it, and the link in it lets you opt out of any further requests. If you do leave a review, your name as you choose to show it and your words are published on the product page; your email address is not. Judge.me processes this on our behalf.

Marketing

We do not buy lists and we do not pass your details to anyone to advertise to you. If you tick the box at checkout agreeing to hear from us, we may email you occasionally about new work; every such email has an unsubscribe link, and it works the first time. Order, proof and shipping emails are not marketing and you will receive them regardless.

Cookies and analytics

Shopify sets the cookies that make the shop work — your cart, your sign-in, checkout security. You cannot shop without them.

Google Analytics 4 tells us, in aggregate, how people find and use the site: which pages are read, where visitors come from, whether a visit ends in an order. Google Analytics 4 does not log your IP address, and we do not combine its data with your name or order. You can stop it at any time by blocking cookies in your browser settings, or with Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout.

Google reCAPTCHA protects the contact and trade-application forms against bots; when you use those forms it may set a cookie and sends Google technical information about your browser. Google Fonts supplies the typefaces on the site; when a page loads, your browser fetches them from Google's servers, which receive your IP address for that purpose.

We do not use advertising pixels (Meta, TikTok, Pinterest or similar) and we do not do cross-site behavioural advertising. We do not sell personal information, and we do not "share" it for targeted advertising in the sense of the California Consumer Privacy Act — not in the last twelve months and not now.

Who else sees your information

Only the companies that help us run the shop, each for its own job and each bound to use the information for that job alone:

  • Shopify — hosts the shop, the checkout, customer accounts and the chat, and stores orders and customer records.
  • Payment providers inside Shopify's checkout — take the payment.
  • Carriers, chiefly FedEx — receive your name, address, phone number and email to deliver the parcel and, for US deliveries, to clear customs on our account so that you are not billed.
  • Google — analytics, reCAPTCHA, fonts and our email.
  • Judge.me — review requests and published reviews.

Beyond that we disclose personal information only if the law requires it or to protect our rights, for example in a payment dispute. We do not sell it.

If you buy from us on Etsy instead, that order is placed under Etsy's terms and privacy policy, and we receive from Etsy what we need to make and ship it.

Where it is processed

We are a United States business and our service providers are largely US companies; our workshop and the people who answer your email may also be outside your own country. Your information can therefore be processed outside the country you live in, including outside the European Economic Area and the United Kingdom. Where we move information out of the EEA or UK we rely on the recognised mechanisms — the European Commission's standard contractual clauses, the UK addendum to them, or the EU–US Data Privacy Framework where a provider is certified under it.

How long we keep it

  • Orders, invoices and the correspondence that belongs to them: as long as tax and accounting law requires — up to ten years — because we must, and because a ten-year warranty is easier to honour when we can still find your order.
  • Trade-account applications we decline: twelve months.
  • Enquiries that do not lead to an order: up to two years.
  • Analytics: Google Analytics keeps event data for at most fourteen months.

Your rights

Wherever you live, you can ask us what personal information we hold about you, ask us to correct it, ask us to delete it (we will, unless we must keep it for an order or for tax records), ask for a copy in a usable format, object to or restrict a particular use, and withdraw any consent you gave. In the EU and UK these are rights under the GDPR; in California under the CCPA; we honour them for everyone and will not treat you differently for using them. Email msquare.marine.solutions@gmail.com; we answer within a month, and we may ask you to confirm you are who you say before we hand anything over. If you are unhappy with our answer you can complain to your data protection authority — in the EU, the authority of the country you live in; in the UK, the Information Commissioner's Office.

Children

The shop is not for children and we do not knowingly collect information about anyone under sixteen. If you think a child has given us personal information, write to us and we will delete it.

Security

The site and checkout run over HTTPS; payment details go directly to the payment provider and never pass through us; access to orders and customer records is limited to the people who need it to make and ship your letters. No system is perfect, and if a breach ever affected your information we would tell you and the authorities as the law requires.

Changes

If we change this notice we will post the new version here with a new date. If a change matters — a new use of your information, a new kind of recipient — we will tell you by email where we can.
